The question came up during planning for the current enrollment cycle: If we know that calls to the TCC Information Center increase every July and August and that some callers will have trouble getting through, why not increase the number of people who answer phones?

We made it happen, and now there are 36 trained volunteers who will supplement Information Center staff through Aug. 24. Employees from departments college-wide signed up. Continue reading

Keeping track of our customers: students

Until the Prospect Tracking System came into wider use, keeping tabs on students and prospects may have involved notebooks, paper files or Excel spreadsheets. But as the need for shared information and collaboration has grown, so has the need for a more robust tracking system.

Now, that new system is in development: a customer relationship management (CRM) system. The need for CRM was identified during SEM Phase 1 process mapping. Continue reading

With a total of 146 academic programs (and counting), creating and maintaining informational materials for all of our academic programs has been a challenge. With the sheer breadth of our academic offerings, by the time materials were designed, proofed, approved and printed, many were already out of date.

The answer has eluded us for years. Until now.

An achievement in dual enrollment!

Jason Dyer started TCC while a student at Woodrow Wilson High School in Portsmouth. He was featured in the most recent issue of CareerFocus.

What began as a SEM process map last spring has resulted in a manual that provides standardized information on TCC’s dual-enrollment program. Executive Staff approved the manual at its Feb. 5 meeting.

Many different people – dual-enrollment counselors, admissions staff, career coaches – may interact with high school students and parents interested in dual enrollment. With dual enrollment, college-ready high school juniors and seniors may take courses at TCC or at their own schools that will count toward college credit. Continue reading

On to Phase 2! Kickoff is Oct. 2

Implementation of the first phase of Strategic Enrollment Management – “Pre-Enrollment” – is underway, with hundreds of improvements to recruitment and prospect management identified and also some immediate fixes.

In order to realize the college-wide benefits of the extensive process mapping and planning activities that began in the spring, TCC must commit to full implementation of these tasks.

And many on our staff are hard at work doing just that! Phase 1 implementation action items will continue on to completion using a project management approach and technology.

Enrollment artTake a deep breath, everyone, because Phase 2 – “Enrollment, from Applicant to Student” – launches on Oct. 2 with a kick-off meeting at our Center for Workforce Solutions. Phase 2 will include such college activities as academic advising, paying tuition and class registration.

With a reinforced and re-energized team, the Phase 2 kick-off meeting will include an overview and exercises in process mapping, as well as finalizing the project scope and an approach to the work.

We’re looking for energetic and knowledgeable task force members for this phase. If you or someone you know can contribute expertise, experience or just good ideas, complete and submit the online nomination form by Friday, Sept. 19.

Again, TCC and its students need your support and your elbow grease as we approach these questions:

  • Which offices and staffs should be involved?
  • How can we capture students’ voices?
  • What topics should be addressed?
  • What processes should be mapped as we look to streamline and standardize?
